Corralling Your Collection’s Digital Assets: Corralling Your Collection’s Digital Assets 2014 APGA Plant Collections Symposium U.S. National Arboretum, Washington, DC Friday, November 7, 2014 Agenda: Agenda The beginnings of ABE Stefan Lura & Joe Meny - U.S. National Arboretum Bridging BG-Base with SQL Server and ArcGIS Mike O’Neal – BG-BASE Contractor’s perspective on creating ABE and advice on commissioning your own application Adrienne Allegretti & Stephen Ansari – Blue Raster Questions & Answers The challenges of multiple disparate data formats: The challenges of multiple disparate data formats Stefan Lura & Joe Meny U.S . National Arboretum The Beginnings of ABE: The Beginnings of ABE USNA’s Arboretum Botanical Explorer What is ABE?: What is ABE? Data availability for the public and scientific community Peruse a map Browse or perform advanced queries Plan a visit or tour a garden See a variety of images PowerPoint Presentation: Peruse a map PowerPoint Presentation: Perform an advanced query PowerPoint Presentation: Tour a garden PowerPoint Presentation: View images PowerPoint Presentation: Not as straightforward as it might seem Smoothness of transition depends on existing CAD data Is it spatially referenced? Is it complete and thorough? Create a basemap Think of your assets and infrastructure Buildings, paths, roads, garden locations, water features… Develop attribute tables Build fields Integrate information from plant database Collect, upload, edit, and store new data The Switch: AutoCAD to ArcGIS PowerPoint Presentation: AutoCAD PowerPoint Presentation: ArcGIS PowerPoint Presentation: Developing Attribute Tables PowerPoint Presentation: What did we want? Public data Too often institutions’ data is locked up Staff efficiency Enhanced visitor experience Model for success Get ideas from existing successful applications Get a motivated, adaptable design team Changes will be made, new ideas will be incorporated Appearance and Functionality PowerPoint Presentation: Ideas PowerPoint Presentation: Data in three databases must all be linked Plant, image, and spatial databases Primary Hurdle The Data Problem and ABE: The Data Problem and ABE Lessons for managing collections data PowerPoint Presentation: Two main themes: Managing data in multiple systems simultaneously presents challenges, but also offers significant benefits Treating your data holistically—a data “ecosystem”—and giving your data a purpose to serve will help you manage growing information complexity. Connecting your data systems together ultimately strengthens your data and your collections. PowerPoint Presentation: Plant database Our data problem: CAD maps ??? Plant photos Spreadsheets PowerPoint Presentation: First solution: GIS CAD maps Spreadsheets X X GIS: Map + Data PowerPoint Presentation: Our data relationships now GIS Plant database Image database PowerPoint Presentation: Strategies for preparing your data Define a purpose for your data. What will it be used for and who will be your audience, if you put it online? What data fields will you share? Export your core collections data into spreadsheet form, then compare for consistency. Clean up and standardize important fields: wild collection locations, names, common names. Make sure that common “key” fields are present across multiple data sets and match perfectly. These will link various objects and data together. PowerPoint Presentation: Building connections: image database + plant database Data lookup button lets us populate metadata from our plant database using the accession number. PowerPoint Presentation: Building connections: image database + GIS A “GIS ID” field allows ABE to link one image to a specific object from GIS. PowerPoint Presentation: Choose software that makes your data available in a widely supported file format. GIS is now a standard tool in use by many industries. CAD drawing files are also standard and can be translated into GIS shapefiles (and vice versa). Spreadsheet data is also widely readable, and directly compatible with GIS attribute tables. Asset Bank stores its data in a Microsoft SQL database. BG-Base now has Microsoft SQL data export capability.
