Corrections to student assessment data will revise only the captured data being submitted to the assessment vendors; it does not correct student details in SIS. Updates to SIS student demographic, enrollment, program indicators, and enrollment exits are to continue through the end of the current school year. If student demographic errors are identified in the Assessment Correction file, revisions must be made to both the Assessment Correction file as well as in SIS via the Student Demographic/Enrollment file (if not already updated in SIS). Only Home Schools are permitted to correct and submit Assessment information to ISBE Correction of Assessment Information Process:  Correction of Assessment Information Process ACCESS Data for the 2007 ACCESS was captured from the test documents only. On-line Reports are available via IWAS/SIS for view-only review of Assessment data and scores Districts must contact METRITECH to make any corrections to Student Demographic or Assessment information Districts may not make corrections in SIS for students taking the ACCESS test METRITECH contact information: MetriTech WIDA Support 1-800-747-4868 Monday through Friday  8 a.m. – 5 p.m. (CST) E-mail: [email protected] Correction of Assessment Information Process, cont.:  Correction of Assessment Information Process, cont. ISAT, PSAE, IMAGE, IAA SIS captured student Assessment Data on the last day of a district’s testing period. The Assessment Correction data will not reflect updates to student demographics that occurred after the end of a District’s testing window. On-line Reports are available via IWAS/SIS for view-only review of Assessment data. Districts are to review their Assessment Correction file and make revisions to the data to reflect details as of the last day of their assessment test period. On-line functionality is available via IWAS/SIS for correction of Assessment data for an individual student. Districts may request their Assessment Correction (CSV) file from IWAS/SIS to make necessary corrections. The SIS Export file is returned in the same format with the same data that was provided plus the following for each record: Result Code, and Result Message. On-line via the Assessment Correction functionality in SIS or through the batch process (Request File) Districts may add students that tested Districts may mark students as ‘Not Tested’ that did not test. How do I request my District’s Assessment Correction file? Login to SIS via IWAS Click the Request File link on the ISIS Home Page Select the grade level to be included in the file (3-8, 11th, or all grades) Select Request for Assessment Correction button File will be available for download via the SIS Download File link A user may only place one request for each file type within a one hour time frame Correction of Assessment Information Overview, cont.:  Correction of Assessment Information Overview, cont. Will the Assessment Correction file assign a Result Code, Result Message, or Student Tested value to each Student Record? Student Tested values will be assigned to each student The Student Tested in the initial file will default to ‘01’ – Yes for each record. Result Codes and Result Messages will not be provided in the 2007 requested Assessment Correction file Errors may be viewed through the on-line Assessment reports How do I indicate that a student did not test in my Assessment Correction file? Districts may change the Student Tested field through the batch process or online through the Assessment Correction functionality in SIS. The District must modify the Student Tested field from 01 (Yes) to 02 (No) Note: If a record is marked as ‘02’ (No) a Reason for Exemption must be provided or that record will fail and the student record will not be marked as not tested. Districts may add the student through the batch process or online through the Assessment Correction functionality in SIS The Student Tested field should be marked as 01 (Yes) for any new students added to the Assessment Correction file The District must add all required fields through the batch process or online How do I submit my changes to SIS? Districts may submit changes through the batch process or online through the Assessment Correction functionality in SIS Through the batch, Districts must upload their Assessment Correction (.csv or .txt) file with their changes via IWAS/SIS. What File Formats are supported? Text (Comma Delimited) Excel Spreadsheet converted into a Comma-separated Value, CSV format Note: An Assessment Correction Excel template and tip sheet are available on the SIS website – www.isbe.net/sis XML formatted Assessment Correction files will not be accepted After the file is processed what data are returned in the file? Result Code Result Message Note: In the spreadsheet the Result Code and Result Message will be returned in Columns AA and AB. What are the Result codes that will be returned in the Assessment Correction File? ‘P3’ – Accepted Update Post Assessment Correction ‘P4’ – Record Added Post Assessment Correction ‘P5’ – Record Marked as Not Tested Post Assessment Correction ‘I’ – SID does not exist or SID and First Name, Last Name, or DOB do not match existing record ‘F’ – Missing or Invalid Data Note: Records assigned a Result Code of ‘I’ and ‘F’ will not update the Assessment Correction data and require resolution. The use of the Assessment Correction Template requires data to be copied from the SIS Correction File (.csv) to the Excel template (.xls). To paste data into the spreadsheet use the Edit  Paste Special  Values option. File must be saved as CSV (Comma Delimited) for submission. Always work in the Excel Template/file when making any changes to student information. Do not make any changes to information in the CSV format as the formatting will be lost and errors may result when submitted.
